How to Manage Orders in WooCommerce

WooCommerce is arguably one of the best e-commerce platforms for WordPress around the world. After site setup and receiving your first order, streamlining the order management process helps avoid costly errors and keep customers coming back for more.

To carry out the tasks in this how-to, you need the following;

  • Access to WordPress site admin panel
  • WooCommerce Plugin installed.


WooCommerce provides a report on the order information which can be expanded to include order confirmation, invoice and packaging details. The orders go through stages of from being a new order, to being processed and completed. As the website owner, you need to understand the order information that includes; Name of the customer, item ordered among others.

How To Manage Orders In WooCommerce

Access Orders

To access orders, log in to your WordPress admin panel and click WooCommerce.

On the orders page, all orders and their information is displayed (e.g. order number, customer name, date of purchase, order status, shipping address and purchase total) displayed in neat rows.

If you want more information about your orders, you can click on screen options at the top right corner of the screen. A panel opens, and you can choose which items you want to be displayed.

You can filter orders in ascending or descending order by click the different headings.

Adding A New Order

Log in to our WordPress account and click on WooCommerce > Orders.

Click on add order button located at the top of the page.

Add details such as order date, order status and the customer details.

The next section as seen above is called Order items. Add the products which will be ordered.

Next up is the custom field section. You can put additional details in the Custom Field such as post office details etc.

The last section is called downloadable product permissions. In this section, you can add some downloadable products to the order. Once the order is confirmed, the customer can download the uploaded products.

Handling Existing Orders

Once an order is placed, you have to process it and complete it after successful payment. On order page, click on the pending payment in WooCommerce.

A list of all orders placed but not paid is displayed. If you want to edit an order, click on the eye icon on the right side of the order.

Once an order is paid, the status changes to processing. Verify order details and move it to complete. To complete an order, click the eye icon. For you to view any of the above tabs, click on their respective names in the orders tab.

Delete Order

You can delete orders if you wish. To do so, select the order via the checkboxes and click the bulk actions, select move to trash and hit the apply button.

Change Order Status

You can change the order status from the Order page. The status of the order can be;

Processing –Payment has been received, and products await dispatch.

On-Hold-Awaiting further details or payment confirmation

Completed-Order delivered and customer happy.

Navigate to Orders page, on the Bulk Actions menu, select the Order status and click Apply.
